    Administrative Assistant On Site Lead - Corona, CA (3241)

    Ghostrock LLC, a subsidiary of Three Saints Bay, LLC and a Federal Government Contractor industry leader, is seeking an experienced Administrative Assistant/ On-site Lead to support our customer in Corona, CA.

    Responsibilities:

    • Serve as the lead point of contact for the Administrative Assistants on the contract. Report to the Project Manager and assist with coordination of team as needed.

    • Perform office-related duties including operating office equipment, filing, typing, and reception duties.

    • Screen telephone calls, visitors, and incoming correspondence; respond to requests for information concerning office procedures; determine which requests should be handled by appropriate staff member or other offices.

    • Provide data entry in support of reports, charts, and metrics.

    • Review Government employee timekeeping information in Navy Enterprise Resource Planning (ERP) system in accordance with Timekeeping Policy and Procedures (NSWCCORDIVINST 12600.2).

    • Input and coordinate travel orders for Government travelers utilizing the Defense Travel System (DTS) in accordance with Commercial Travel Management: Defense Travel System (DTS) (DoD Instruction 5154.31, Volume 3).

    • Provide the Security Office with requested information and other pertinent documentation on behalf of Government travelers and visitors.

    • Prepare documents, minutes, and action item tracking in support of meetings and video/ teleconferences. Collect information from files or staff for routine inquiries on office program(s) or periodic reports, and refer non-routine requests to appropriate staff members.

    • Format and edit official correspondence documents.

    • Copy, cut, collate, and bind documents.

    • Compile and maintain supply order documentation.

    • Input naval messages and coordinate message traffic to submit final product to the Command message center.

    • Assist with shipping requirements by entering shipping data into Navy ERP system and ensuring items for shipping are wrapped/packaged in accordance with NSWCCORDIVINST 7322.1A NSWC Property Management and Control (Shipping Policy).

    • Distribute incoming and outgoing unclassified and classified mail.

    • Maintain recurring internal reports, such as time and leave records, office equipment listings, correspondence controls, and training plans.

    • Assist with Records Management duties as prescribed by SECNAVINST 5210.8E DON Records Management Program Instruction, i.e., label folders, files, and cabinets. Complete Records Management Training annually.

    • Assist with base office relocation for Government employees.

    • Assist with Building Representative duties relating to Facility Maintenance, i.e., putting in or calling in trouble calls for the respective buildings.

    • Assist with Safety Building Representative Duties and Building Fire Warden Duties relating to Safety Measures for the respective buildings.

    • Assist with Safe Custodian duties for locking up and maintaining classified documents temporarily when required in accordance with DoD Manual 5200.01, Volume 3 - DoD Information Security Program: Protection of Classified Information.

    • Assist the Product Data Reporting & Evaluation Program (PDREP) Coordinator by creating the request and entering the applicable data into the PDREP Program Database for review and completion by the PDREP Coordinator.

    Requirements:

    • U.S. Citizen

    • Secret Clearance

    • High School Diploma or Equivalent

    • Three years Management / Supervisory Experience

    • Ten years relevant administrative experience
