    Pay Rate: $1 - $45/hr.

    We are looking for a motivated and experienced Reception Studio Lead to support cross-functional teams. The successful candidate will have a proactive approach with the ability to work autonomously, collaboratively, and thoroughly on a wide range of confidential and time-sensitive assignments. We seek a passionate individual with a friendly work style, who is organized, able to successfully multi-task, prioritize, take direction and initiative as an integral part of the continued success and growth within the organization. You will actively apply your keen problem-solving abilities as challenges arise. Common tasks will include arranging team-wide or site-wide meetings and events, working closely with other executive admins. Working with the broader team, you will contribute to a fun and creative approach while addressing team needs and activities to champion team morale.

    Primary Responsibilities

    • Supporting day-to-day studio needs for our Cupertino location in a Reception Studio Lead capacity

    • Assist with coordination and communication of on-site team meetings and events, including room reservations, catering, team building events, business off sites, and All Hands meetings. Overtime may be required for such events.

    • Liaising with local site teams and corporate meetings and events teams as needed

    • Answering studio / building questions and communicating site updates via Slack

    • Ordering, stocking, and managing inventory of office supplies and snacks

    • Preparing workspaces for leadership visits, new hire starts; and tidying high visibility conference rooms /shared spaces on a set schedule

    • Ensuring in-studio facilities and equipment (printers, Bevi machine, air purifiers, etc) are in working order

    • Submitting tickets / escalating studio/building issues and risks in a timely manner and participating in issue resolution.

    • Escorting vendors for studio maintenance work

    • Assist with special studio specific or event related projects as needed at this location

    Qualifications

    • 3-5+ years of office management experience

    • Exposure to a Creative/Design working environment.

    • Corporate reception experience required.

    • Experience planning, coordinating and communicating team meetings and events, in person and virtually with distributed teams

    • Professional, clear and warm in greeting and communicating with studio guests, visitors, and vendors.

    • Experience interfacing with Leadership and their Assistants.

    • Understands the importance of managing a secure floor with integrity, discretion, and utmost secrecy.

    • Able to graciously accept last minute requests and jump into projects (even outside your immediate scope) as needed with no task too big or too small to handle.

    • Being the center of knowledge and directing people to the right resources for information. - Extraordinary work ethic.

    • Excellent organization skills, acute attention to detail, and ability to handle multiple tasks in a fast-paced and time-sensitive environment.

    • Listening skills; ability to understand assignments and complete them with little to no follow-up from assigned leaders.

    • Ability to anticipate change and to react efficiently and expeditiously.

    • Calm under pressure, sense of humor, and good with people.

    • Demonstrates an ability to anticipate needs and changes, then react with the best interest of the business in mind.

    • Strong interpersonal skills and ability to build relationships cross functionally.

    • Familiarity with company products and proficient working in programs such as Calendar, Keynote, Pages, and Numbers, and collaboration tools like Slack and Quip; knowledge of Excel preferred but not required. Education & Experience Bachelor's preferred but not required. selected.

    Additional Skills & Qualifications:

    Looking for a lead receptionist who can help manage a contractor team of 4 both in person and remotely. Key skills include being able to help manage a team day to day, success organizational skills, being proactive and helping drive onsite operational efficiencies where needed.

    This will be supporting various Studios within the US and it is important that this person have a positive and inviting attitude when it comes to greeting guests.
