  • POSITION SUMMARY

    Under general direction of the Head of Public Services, manages all Circulation and Reserves & Recordings Desk operations for the Sibley Music Library. Manages up to 40 student workers.

    RESPONSIBILITIES:

    Manages the Circulation Department

    • Interprets and provides input for library circulation policies and shelving procedures; directly involved in policy development and implementation.

    • Serves as liaison to public: deals with problems and questions referred by patrons and library staff concerning general library policies/procedures and general reference information; negotiates settlements.

    • Serves as call-in in the event of staffing emergencies.

    • Communicates with University Security in matters related to building alarms and authorization of student staff to open/close SML

    • Assumes responsibility for and manages all departmental operations (Circulation Desk, Reserve Desk, Recordings Stacks, InterLibrary Loan Service) in absence of Head of Public Services

    • Prepares informational materials for patrons and staff; contributes to guides, brochures, and handbooks as needed

    • Prepares procedural and training manuals. Maintains a continual process of revision for the manuals

    • Performs related duties as assigned

    • Oversees the public photocopiers and public computers including: ordering supplies, fixing jams and troubleshooting, call for copier repairs, notifying public if copiers and/or computers are down

    Administrative Circulation Dept Operations:

    • Collects and records fines

    • Maintains ledger bookkeeping system for circulation patron fines/fees

    • Approves and renews Community Borrower's Permits

    • Maintains New Book Shelf

    • Retrieves and returns Storage items

    • Provides for circulation desk supplies, forms, schedules

    • Corresponds with patrons on matters related to fines, bills for replacement and lost materials

    • Issues receipts for payment

    • Recalls Library items

    • Creates new files, forms, and procedures as needed

    • Maintains file of requests for renewals

    • Responds to security alarms

    • Maintains circulation correspondence files

    • Maintains and compiles circulation statistics

    • Bills student accounts by posting fines to student term bills

    • Handles routine and non-routine mail

    • Responsible for ongoing stack maintenance

    Supervision of Student Workers

    • Hires and schedules up to 40 student workers who support the operations of SML circulation desk and access services

    • Circulation desk clerical operations: tracking inventory & updating circulation files updating supplies of forms, assisting patrons with copiers, delivering circulation desk mail, answering/referring telephone calls, answering directional inquiries & referring reference questions, maintaining visitor log, preparing and mailing overdue notices

    • Library materials operations: evaluating condition of items, forwarding damaged items to bindery, charging/discharging library items, renewing library items, processing holds and storage requests, tracking library fines, monitoring library security system, maintaining circulation files for ongoing accuracy, clearing items from hold and lost transaction shelves, searches for missing library items, circulating interlibrary loan materials

    Training

    • Trains and monitors performance of all student assistants on clerical, operational, and circulation desk duties.

    Assigns and maintains the graduate student carrels

    • Accepts applications from grad students who want an assigned 4th floor carrel.

    • Assigns carrels according to established criteria.

    • Ensures carrels are being used properly and manages any difficulties.

    Other duties as assigned.

    Pay Range

    Pay Range: $20.92 - $29.29 Hourly

    The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
